Access

  • No deliveries should be made to the venue in advance of Sunday 15 September 2024
  • If you are shipping directly to the venue, please either ensure that a representative from your company is there to receive the shipment, or, coordinate the delivery with our partner, DB Event Logistics
    • Alternatively, consider making use of the advance warehouse facility provided by DB Event Logistics, for your shipments

  • Set-Up Access – Exhibitors & Contractors who require direct unloading access at Hall 9:
    • Trucks weighing over 7.5t - please refer to the Truck Ban on Sundays in Germany section of this A - Z
    • For a deposit of € 100.00 in cash, drivers can enter the trade fair for loading and unloading. Please note the time limits for entry. Please note that deposits will lapse if drivers exceed these limits.
    • When unloading has been competed, vehicles will be relocated to alternative parking at the venue; P1 & P2 for cars, P1 North for trucks
    • Truck parking in P2 North is 134.45 euros for the duration of the event
  • Set-Up Access – Exhibitors who have small items that can be hand carried/ have use of their own trolley:

    • A free shuttle bus will be in operation between the car parks and the venue
  • During Set-Up (15 – 16 September) and Dismantling (19 September from 16:30 & 20 September) periods, parking is free of charge
  • During Show Open (17 – 19 September) a parking ticket can be purchased on site or via The Works Events
  • Dismantle Access:
    • Dismantling will commence 30 minutes after show close/ once ALL visitors have vacated the hall
    • Exhibitors who are able to remove their exhibits by hand/ have use of their own trolley will be able to do so from 15:30
    • Exhibitors and contractors who require direct loading access at Hall 9 should enter through gate 1

Accessibility

Accident Reporting

  • All accidents, even small ones, must be reported to the Exhibitor Service Desk in Hall 9 (exact location TBC)

Accommodation/ Hotels

Audio Visual (AV)

  • Audio-Visual presentation must be totally contained within the stand area
  • Sound and noise levels must be kept to a level that does not disturb neighbouring exhibitors
  • The Organisers reserve the right to turn down volume and move attendess to prevent the gangways from getting obstructed
  • Audio-Visual equipment can be hired from The Works Events

Carpet & Flooring

  • All stands are required to have carpet/ floor covering
  • Carpet/ floor coverings must not protrude beyond the stand perimeter
  • No fitted carpets or carpet tiles may be stuck to the entire surface of the hall floors
  • Carpets may only be fastened in place with solvent-free, residue-free, removable cloth adhesive tape
  • Carpet/ floor coverings can be provided by the General Services Contractor, The Works Events

Cashpoint/ ATM

  • The cash machine is located on the fairground, Messe-Center, 1st floor

Catering/ Food & Beverage

  • On-stand Hospitality/ Catering:
    • You are welcome to serve food and refreshments (inclusive of alcohol) free of charge to visitors on your stand
      • The serving of food and drink should be for immediate consumption in quantities smaller than commonly sold
  • You may supply your own food and refreshments or alternatively, you can make orders with SV Group

Children

  • No persons under the age of sixteen will be permitted into the exhibition hall, at any time
  • This is inclusive of Exhibitors' and Contractors' children during the set-up, show open and dismantle phases

Cleaning

  • Cleaning requirements can be ordered from The Works Events
  • To book stand cleaning services from The Works Events, please visit the STAND SERVICES PAGE

Cloakroom

  • Cloakroom facilities will be available on show open days, in Entrance North
  • The cloakroom opens 1.5 hours before show open and remain open up to 1 hour after show close; overnight storage is not possible
  • The cloakroom is cash only
  • The cost is 2 EUR per item

Compressed Gases & Liquid Gases

  • The use of Compressed Air, Compressed Gas and Liquid gas is not accepted without written consent
  • Please visit the STAND SERVICES PAGE to place your orders through The Works Events, orders must be received no later than 02 August 2024
  • All activities involving the use of compressed air/ gases must be fully risk assessed and included in your risk assessment
  • If using Liquid Gas, a maximum of one 10-l compressed gas flask/cylinder containing 11 kg may be installed
  • A spare flask/cylinder may be kept and must be protected against impact, falling over, unauthorised access and heat
  • Toxic gases may not be used
  • All lines leading from liquid gas connections must be checked for leaks and a certificate confirming proper installation must be obtained and submitted to The Works Events

Copyright

  • Please note that the Organiser (Event Partners Ltd) have no copyright responsibility in respect of any exhibiting company
  • Exhibitors are reminded that third party copyrights should not be infringed
  • Proper dispensation must be obtained and any royalties due paid prior to the use of materials
  • Should any copyright dispute arise, the Organiser (Event Partners Ltd) will not be liable for any resulting loss, or damages sustained by any exhibitor or third party

Custom-Build Stands

  • You are welcome to appoint your own contractor to install a custom-build stand for you
  • Please make sure your contractor is familiar with the contents of this manual
  • Please complete COMPULSORY STAND FORM 3 by the deadline specified
  • Make sure your stand design adheres to our DISPLAY RULES & REGULATIONS and the VENUE TECHNICAL GUIDELINES
  • Your stand builder must also submit the following, to Event Support Solutions, by the deadline specified:
    • detailed scale drawings (including plan views and elevations)
    • a plan showing the stand location within the exhibition
    • risk assessment
    • method statement
    • proof of insurance
  • Authorisation to Build cannot be issued until all of these documents have been reviewed

Deliveries

  • If you are shipping directly to the venue, please either ensure that a representative from your company is there to receive the shipment, or, coordinate the delivery with our partner, DB Event Logistics
    • Alternatively, consider making use of the advance warehouse facility provided by DB Event Logistics, for your shipments

  • It is not possible to make deliveries to and in Hall 9 between 9 a.m. and 6 p.m. during the event (17 - 19 September). This is not permitted for safety reasons

Demonstrations

  • Exhibitors must ensure that any demonstrations (i.e. operate machinery or carry out mechanical demonstrations) on their stands, do not constitute a fire or health & safety hazard, and must submit a full risk assessment to [email protected] no later than 06 August 2024
  • Any exhibitor carrying out demonstrations involving public participation must submit a copy of their public liability insurance alongside their risk assessment
  • The activity must be confined within the stand and not protude onto the gangway
  • Any viewing areas must also be accounted for into the design of the stand and must not be on the gangways
  • All moving parts must be effectively guarded, with controls sited beyond public reach
  • The Organisers reserve the right to limit any practice that they consider dangerous or detrimental to the show/ public safety
  • Noise levels must not be set to a level that causes annoyance or nuisance to neighbouring exhibitors and/ or the public
  • The Organiser reserves the right to stop, control or reduce noise emissions in the case of a dispute

Dilapidation Charges

  • Any damage caused by exhibitors to the grounds or to the buildings or facilities on the grounds will be rectified by Messe Düsseldorf once the event has ended, at the expense of the exhibitor concerned
  • Any damage must be reported immediately in writing
  • Exhibitors are responsible for all panels, walls, columns, flooring, shell scheme stands and hired accessories within their stand area and any damages will be repaired at the exhibitor's own expense
  • Any damage to the fabric of the building over and above normal wear and tear will be charged accordingly
  • Please note that nothing may be fixed to the fabric of the building or bolted to the floor without prior permission from the Venue
  • Please avoid damage by ensuring the following:
    • No equipment or furniture should be stored or displayed against any wall
    • No equipment or furniture should be dragged across the floors
    • No equipment should be dropped on the floors
    • Suitable floor protection should be used
    • Care must be taken when moving through doors

Electrical Installations

  • Electrical connections can be ordered from the General Services Contractor, The Works Events; please visit the STAND SERVICES PAGE
  • The main electrical connection for a stand may only be installed by the electrical company appointed by The Works Events
  • Any other electrical work can be arranged by the exhibitor, ensuring that all installations and equipment are only installed, altered, and maintained by a qualified electrician or by a person trained in electrical engineering under the guidance and supervision of a qualified electrician
  • Any work not completed by the contractor supplied by The Works Events, will be checked by a The Works Events electrician onsite and the exhibitor shall bear the associated costs
  • Note: Electrical connections will be switched off 2 hours after the close of the event for safety reasons

Emergency Exits, Escape Exits & Hall Aisles

  • Please view the VENUE TECHNICAL GUIDELINES to review information relating to emergency exits, escape exits and hall aisles
  • Escape and emergency routes must be kept clear at all times. The doors along escape and emergency routes must be easy to open fully from inside
  • Escape and emergency routes, exit doors and emergency exits and any markings of these on hall floors must not be obstructed, built over, blocked, covered or otherwise rendered unrecognisable
  • Emergency routes must be free from obstruction at all times
  • In the event of a violation of the above provision, Messe Düsseldorf is entitled to remedy the situation at the expense and risk of the party who caused it.

Emergency Procedures

  • Emergency Numbers:

    • Police – 110 (external)
    • Fire Brigade – 112 (external)
  • Messe Düsseldorf may order the closure and evacuation of rooms or buildings for safety/security reasons
  • In the event of the evacuation of the building due to a technical fault or an emergency, please pay attention to the announcements made over the loudspeaker and follow the instructions of the security staff
  • Leave the building via the signposted emergency exits
  • Please do not use the lifts — use the stairways indicated

Exhibitor Appointed Contractors (EAC)

  • An Exhibitor Appointed Contractor (EAC) is any individual or company hired to set-up/ dismantle or provide services to your stand, who is not an employee of your company, and who is not an official contractor to the Organiser
  • Exhibitors must ensure that contractors they have appointed are familiar with the contents of this manual, in particular the:
  • Exhibitors should notify the Organiser of their intent to use their own contractor(s) at the earliest opportunity, using COMPULSORY STAND FORM 3

Exhibitor Badges

  • Badges are complimentary and unlimited
  • NOTE: if you are using your own contractor to build your stand, it is not necessary to register them for exhibitor badges

Fire Exits & Extinguishers

  • Fire exits should be kept free of obstructions at all times
  • The venue has fire extinguishers that are at fixed locations throughout the venue and hall, and are appropriate to the area they are located in
  • Any exhibitor requiring fire safety equipment on their stand should not be reliant on venue equipment within the hall
  • Exhibitors should bring the necessary items with them or to enquire about ordering stand specific fire safety products, please email [email protected]
  • Sprinklers, fire alarms, fire extinguishing equipment, smoke detectors, closing devices on hall doors and other safety equipment, signs for the safety equipment and emergency exit signs must be accessible and visible at all times

Fire Protection & Safety Regulations

  • Please refer to the VENUE TECHNICAL GUIDELINES for full guidance on fire protection & safety regulations
  • Exhibition stands must not be built using any easily inflammable materials, materials that drip when burning or materials that form toxic gases or produce a lot of smoke when burning, such as most thermoplastics, including polystyrene (styrofoam)
  • Decoration materials must, at a minimum, be flame-retardant (Class B1) and not drip when burning, pursuant to DIN 4102-1/EN 13501-1, with limited smoke generation or, pursuant to EN 13501-1, classified as at least Class C (C-s2, d0)
  • A test certificate confirming the classification of the materials used must be available

First Aid

  • Should you require medical assistance onsite, please alert one of the Security Team or Organising Team members
  • A first aid box will be available in the Organiser Office/ Exhibitor Service Desk in Hall 9

Floor Loading

  • Load-bearing capacity: 10.000kg/m2
  • Exhibits weighing more than 100 kN/m2 (10 t) per square metre floor area (distributed weight, not concentrated loads) require a support construction adapted to the load-bearing capacity of the hall floor.

Forklifts

  • DB Event Logistics are the only contractor permitted to drive forklifts onsite
  • If you require unloading/ loading forklift assistance, this must be PRE-BOOKED

Gangways/ Aisles

  • Under no circumstances should stand build, exhibits, stand dressings, tables and chairs etc. be allowed to encroach on gangways/ aisles
  • Offending items are liable to be removed without warning
  • Fire exits must be kept clear of obstructions at all times

H


Health & Safety

  • Event Partners Ltd, the Organiser, take their Health & Safety responsibilities very seriously; it is vital that exhibitors and their contractors do the same
  • As an exhibitor, you must ensure the health, safety and welfare of your employees, contractors and attendees as far as is reasonably practicable throughout the exhibition
  • You should ensure that your actions (or in-actions) do not give rise to accidents, injuries or unsafe working environments, provide proper information, instruction and training and supervise all parties throughout the show
  • You should also check that the contractors that you may be using have a Health & Safety Policy, suitable to the exhibition environment
  • Key Health & Safety Guidance:
    • Each exhibitor should have a copy of their Company Health & Safety Policy available for inspection on their stand
    • A” suitable and sufficient” risk assessment should exist in respect to all the significant risks in the business
    • Every employer has a duty to co-operate with other employers (e.g. the Organiser) when sharing a workplace, whether temporarily or permanently
  • Please familiarise yourself with the venue’s Emergency Procedures (see relevant section in this A – Z)
  • If you require first aid assistance please alert a member of the security team or visit the Organiser Office/ Exhibitor Service Desk in Hall 9
  • Emergency exits must be maintained and gangways kept clear at all times
  • Good housekeeping must be maintained in work areas allowing any hazards to be easily identifiable
  • Steps, mobile scaffold towers etc must be used in a safe manner, using suitable equipment in the approved way
  • All powered access equipment must be operated by fully trained and certified personnel. Copies of training certificates must be available for inspection and anyone who cannot prove their competency may be asked to cease the activity
  • All portable power equipment must be used only for the purpose for which it was designated and the correct safety guards and devices must be fitted and used. Trailing power leads must be kept to a minimum and not cross gangways. Petrol powered equipment must not be used
  • Personal Protective Equipment (PPE) must only be used where other protective measures have been considered unrealistic i.e. PPE is the last line of defence. PPE must be suitable and sufficient for the job and employees trained in its use and limitations
  • All contractors must be aware of the need to supply suitable and sufficient tools and equipment required for the job before coming on site. Borrowing of tools and equipment from the venue is not possible
  • The consumption of alcohol is not permitted on the exhibition floor during the set-up and dismantle periods of the event. The use of drugs is strictly prohibited throughout the duration of the event

Height Restrictions

  • The maximum stand build height is 6m
  • Exhibitors are responsible for the structural stability of stand builds up to 6m and must be prepared to provide proof if required

Insurance

  • Whilst the Organiser will take take every precaution to protect your property during the event, we are not responsible for any loss or damage
  • You must ensure you take out adequate insurance cover for the period of your participation
  • You are responsible for insuring against any legal liability incurred in respect of injury or damage to property belonging to third parties
  • Both your employers liability and public liability insurance values should be not less than €5 million each

Lead Retrieval/ Data Capture

  • We have partnered with Jonas Event Technology to provide lead retrieval/ data capture services to exhibitors
  • Lead retrieval is an app based solution for smart phones, or a hand held scanning unit, which allows you to scan badges of visitors to your stand and capture their data, to follow up with post event

  • During Set-Up (15 – 16 September) and Dismantling (19 September from 16:30 & 20 September) periods, parking is free of charge
  • During Show Open (17 – 19 September) a parking ticket can be purchased on site or via The Works Events

Photography/ Filming

  • By registering for and attending this event, participants agree to be photographed and/or filmed by the Organiser, and give permission for their likeness to be used on promotional and/or marketing materials
  • Please contact the Organiser to opt-out
  • For exhibitors who wish to take on-stand photographs/film during the opening hours of the show, people should either not be recognizable or prior consent must be obtained from those who can be recognized
  • For exhibitors who wish to take photographs/film of their stands outside of the opening hours of the show, permission is required from the Venue

Platforms & Stages

  • Platform corners must be splayed, rounded or angled and there must be a contrast in colour between the gangway and the platform to denote the change in level
  • Platforms should not exceed 170mm in height (one step) and ramped access should be provided for people with disabilities
  • Ramp access should be contained within the stand and not built beyond the perimeter
  • Ramps to have a minimum, unobstructed width of 1.5m

Risk Assessments

  • A Risk Assessment is the most effective way of documenting, assessing and controlling risks
  • An assessment of risk is a careful examination of activities that could cause harm to people; the aim is to make sure that no one gets hurt or becomes ill by taking practicable precautions to prevent incidents/ accidents
  • Custom-build Exhibitors
  • All Custom-Build exhibitors MUST produce and submit the following, to Event Support Solutions*:
    • Stand Design Inspection Form
    • Scale drawings, including plan views and elevations
    • Plan showing location of stand within the exhibition hall
    • Risk Assessment
    • Method Statement
    • Proof of Insurance
  • *These documents are usually submitted by the contractor appointed by the exhibitor to install their custom-build stand
  • In addition, exhibitors using their own contractor to install a custom-build stand must ensure they have a ‘suitable and sufficient’ risk assessment in place for the event, exclusive of their stand contactor activities

  • Self-Build Exhibitors:
    • All Self-Build exhibitors MUST produce and submit the following:
      • Stand Design Inspection Form
      • Stand plans/ designs
      • Construction Phase Plan
      • Construction Phase Risk Assessment
      • Method Statement
      • Proof of Insurance
    • In addition, exhibitors building their own stands, must complete a risk assessment to cover their own activities during the build-up, shop open and breakdown periods

  • Stand Package Exhibitors:
    • The installation of stand packages will be covered by the appointed shell scheme contractor’s (The Works Events) own risk assessment 
    • In addition, exhibitors using the stand package installation service from The Works Events must ensure they have a ‘suitable and sufficient’ risk assessment in place for the event, exclusive of the shell scheme contractor’s activities

Scam Warnings

  • Hotels
    • Langham Travel are the official accommodation partner for this event
    • Any other company claiming to be working with us/ offering you hotels should be ignored
    • To book a partner hotel please click HERE
  • Attendee Data
    • Any offers to obtain / purchase attendee lists from third party companies are a scam, using fabricated and falsified data based on the current information publicly available for the event
    • Event Partners Ltd does not sell/ distribute attendee data to third party companies

Security

  • General surveillance in the exhibition halls and the outdoor exhibition area during the set-up, show open and dismantle periods of the event will be provided
  • However, exhibitors are asked to take precautions against theft and be vigilant at all times

Set-Up & Dismantling

  • General
    • Please view the EVENT SCHEDULE for full access times
    • Be security conscious; set-up and dismantle are classic times for easily movable items such as laptops, mobiles, handbags, projectors etc to be stolen
    • Accidents are more likely to happen during the set-up and dismantle phases of an event. For your safety, and the safety of others, the following guidelines must be adhered to during these times:
  • Set-up & Dismantle
    • Please familiarise yourself with the EVENT SCHEDULE so you are aware when contractors and exhibitors are permitted to carry out work in the hall
    • Industry and company health & safety policies are to be observed and adhered to at all times
    • No persons under the age of 16 are permitted in the exhibition halls during these periods
    • No vehicles will be allowed to load/ unload or enter / exit the venue unless authorised by a member of the security team
    • Do not obstruct the aisles and exits with rubbish. Gangway access needs to be maintained in case of an emergency
    • Vehicles must leave the exhibition hall by 4pm on the last day of set-up; any delays will result in a fee
  • Dismantle
    • The events officially close at 15:00 on 19 September 2024
    • Dismantling will commence 30 minutes after show close/ when all visitors have vacated the halls. Please do NOT attempt to remove exhibits or dismantle your stand until this time
    • From 15:30 exhibits can be removed from the halls, structural dismantling of stands can commence and stored empties/ crates will be delivered to stands
    • No large items i.e. pop-up stands or trolleys may be taken through any of the main public entrances. These must exit the building via the roller shutter doors only, which will be opened at 15:30
    • All stand package exhibitors must vacate the hall no later than 20:00 on 19 September 2024
    • Custom-build contractors may dismantle until 20:00 on 19 September 2024 and 08:00 – 16:00 on 20 September 2024

    • ALL (non-rental) stand items MUST be removed by exhibitors at the end of the event; this includes leftover leaflets/ marketing collateral, custom-build stand carpet etc

Smoking & E-Cigarettes

Stand Package (Shell Scheme)

  • The Works Events is the official contractor for all shell scheme construction and as such, must carry out all shell scheme work within the hall
  • If you are not appointing your own stand builder, you will need to order a shell scheme stand package

Storage

  • The storage of empty containers or packaging of any kind within or outside the stand in the hall is prohibited
  • Messe Düsseldorf is entitled to remove any empty containers or packaging being stored in violation of the regulations at the exhibitor’s expense and risk
  • All onsite storage requirements must be PRE-BOOKED with the official shipping & handling contractor, DB Event Logistics

Suspension/ Rigging

  • We work closely with our venue and a number of officially appointed contractors to administer these events
  • To ensure exhibitor preparations are undertaken and orders are placed in a timely manner, we may share your contact details securely with them

Toilets

Traffic Regulations

  • Please refer to the VENUE TECHNICAL GUIDELINES
  • Please view the MESSE DÜSSELDORF TRAFFIC REGULATIONS
  • Any instructions issued by members of Messe Düsseldorf staff responsible for directing and controlling traffic must be followed at all times
  • The speed limit at the venue is 20km/h
  • The provisions of the German Road Traffic Regulations apply throughout the exhibition grounds and in car parks belonging to the venue
  • Any vehicles in violation of the regulations may be removed at the owner’s risk and expense

Truck Ban on Sundays in Germany

  • Heavy goods vehicles of over 7.5t maximum permitted weight (MPW), as well as trucks with trailers are not permitted on the roads in Germany on Sundays, 00:00 – 22.00
  • Arrival into Düsseldorf is not permitted for these types of vehicles on Sunday 24 September
  • Departure for these types of vehicles is permitted on Sunday 24 September, 22:00 onwards
  • Please take this into consideration when planning the transportation of your stand or exhibit to the venue during the set-up period

Vehicle Display

  • Please refer to the VENUE TECHNICAL GUIDELINES for full guidance on vehicle display
  • Exhibitors wishing to display a vehicle, must use their Compulsory Stand Form notify the Organiser, no later than 06 August 2024
  • Delivery and removal times of vehicles must be allocated in the set-up and dismantle schedule
  • All vehicles keys must be left at Hall 9 Organiser Office/ Exhibitor Service Desk, once positioned

Waste Management & Disposal

  • Exhibitors are responsible for ensuring that waste generated during the set-up, show open and dismantling periods of the event is disposed of properly and in an environmentally friendly manner
  • All accumulated waste during the exhibition, as well as during set up and dismantling has to be handed over from the waste producer (exhibitor/contractor) to the venue.
  • Self disposal (the transport of your own waste) is not allowed
  • For any waste left behind in the exhibition hall, a fee will be charged to the exhibitor responsible

Wi-Fi

  • Exhibitors who require guaranteed internet access on their stand should order dedicated stand wi-fi or a hardline connection from The Works Events

Working Machinery

  • Please refer to the VENUE TECHNICAL GUIDELINES for full guidance on exhibiting working machinery
  • Please indicate on your Compulsory Stand Form if you will have working machinery on your stand
  • Data sheets/ full technical specifications must also be submitted for any working machinery, as well as your certificate of insurance
  • You must ensure you have a ‘suitable and sufficient’ risk assessment in place for the event, which includes the control measures in place to protect people when performing machinery demonstrations
